Food for Life Halton & Hamilton is the regional leader in rescuing and distributing GOOD fresh and frozen food. We support the community by supplying healthy food directly to neighbours and to a network of non-profits and partners who offer food support programs. Food for Life has an active roster of more than 400 committed volunteers and has committed resources to build on our strong foundation to inspire more people to share their time, talents, and treasures in our aligned mission.
You are actively seeking a functional leadership role that will take ownership of bringing an enhanced volunteer program to life including:
- Championing the vision of our program to internal and external stakeholders
- Updating, refining, and ensuring our policies and procedures are human-centric, resourceful, have the desired impact and are efficient in their implementation.
- Building a Leadership Circle of dedicated volunteers to amplify our impact and ability to achieve our shared mission.
- Provide leadership to fellow staff on volunteer management.
- Handling the day-to-day recruitment, screening, orientation, onboarding and supervision of our volunteer program.
This program currently has no direct staff reports – Food for Life is committed to ensuring this program has the support it needs to grow and ensure work-life harmony for all our staff.
About You
You bring an experienced background in building and functional leadership of complex volunteer service and formal knowledge and training in issues related to volunteer management or human resources.
You have experience in managing and leading a group of talented volunteers to excel toward a common mission/goal. You have familiarity with continuous improvement methods and share information regularly with both upper management and your team of direct reports.
You are Disney-esc in your approach to customer service and are keenly aware of the vital role that great service plays in the overall impact of an organization and you strive to deliver a second-to-none experience.
You share our customer service tenants of Safety, Courtesy, Inclusion, Experience and Efficiency. Utilizing your strong interpersonal and written communication skills, you also build great working relationships with external and internal stakeholders through phone and email communication.
We are looking to welcome a teammate who understands and respects the importance of accurate information tracking and timeliness of reporting. You have a strong proficiency in Office Suite programs, especially Microsoft Excel, and are comfortable working independently. You also have strong project management skills, including the ability to set and track goals, meet deadlines, and handle a normal volume of work.

Specific Role Details
Reporting to the Executive Director, you will have the opportunity to use your skills and talents to:
Supervisory Responsibilities
- This position may directly supervise individual(s) volunteers.
- Administers directly or supports supervising staff in performance reviews and management of volunteers.
Reporting and Support of Leadership
- Ensures reporting and data systems are accurate and up to date based on the latest schedule.
- Supports Executive Director as required for same processes for onboarding of Board of Directors.
Identification of Needs and Position Development
- Communicates with all departments of the organization to identify available opportunities and needs for volunteers.
- Reviews, revise and develop job descriptions and risk assessment placement for all volunteer roles in collaboration with other staff who provide the functional task information.
- Works with Supervisor and Marketing to promote volunteerism recruitment, stories, and identification of opportunities in the Community.
- Leads recruitment of volunteer staff to fit these roles using a variety of resources and techniques.
Recruitment and Onboarding
- Develops Volunteer Recruitment Strategy.
- Gathers information about each volunteer’s skills, availability, and goals; matches volunteers with appropriate opportunities based on this data.
- Ensures appropriate screening is completed and documented according to the risk matrix.
Scheduling and Day-to-Day Operations
- Schedules, coordinates, and assigns volunteers to appropriate departments, supervisors, and/or mentors.
- Regularly communicates with volunteers to ensure the placement is a good fit for the individual’s skills and goals.
- Maintains files, records, applications, and other data concerning the volunteer program.
Performance Management and Retention
- Coordinates volunteer recognition and appreciation events and activities.
Program Development and Continuous Improvement
- Ongoing learning to bring forward recommendations for updates to policies, procedures and best practices to ensure a best-in-class volunteer program.
- Identification of Risk Issues to Leadership.
- Development of policies and procedures.
- Development of training tools and technology to help drive continuous improvement.
- May represent Food for Life in community settings and activities.
Your Skills and Abilities

Data and Technical Systems Management
- Proficient with Microsoft Office Suite or related software.
- Being familiar with Communal Software Systems is considered an asset.
- Familiarity with Raisers Edge, NXT and Volunteer Module is considered an asset.
Education and Experience
- Formal training in Volunteer or Human Resource Management.
- 5+ years of related work experience at a Manager/Supervisor level.
- Professional accreditation in a related field such as CVA or CHRP is considered an asset.
Physical Requirements
- Working in an office environment.
- Must be able to lift to 50 pounds on occasion.
- Regular access to a vehicle or reliable transportation for work in the community.
Screening Requirements
- Requires successful completion of a Vulnerable Sector Check.
Hours and Location of Work
This role is onsite Monday to Friday with flexible working hours to accommodate the variety of work. Core business hours are 10 am to 3 pm Monday to Friday. Occasional remote, work at home may be available once established systems and schedules are set and strong familiarity with systems is achieved.
Your working location will be at our warehouse in Burlington or a satellite site in Milton.
